This Privacy Policy describes how BillUnlimited ("we," "us," or "our"), a service of Unlimited Pediatric Therapy, LLC, collects, uses, and protects information when an agency uses the BillUnlimited platform.

Your data is used only to provide and support the BillUnlimited service, including generating ESDS XML and 837P files, storing visit and provider records, authenticating users, providing customer support, and maintaining and improving the platform.

We do not sell or rent your data. We may share data with third-party service providers necessary to operate the platform (such as payment processors, cloud hosting providers, and infrastructure services), all of which are contractually required to protect the data and use it only for service-related purposes.

3. PROTECTED HEALTH INFORMATION (PHI)

The platform may process billing-related data, including protected health information (PHI), as provided by the agency. PHI is used solely to provide and support the BillUnlimited service, including file generation, data storage, system functionality, and customer support, in accordance with the applicable Business Associate Agreement.

PHI is not sold or shared with third parties except as required to operate the service or as permitted under the Business Associate Agreement. PHI is encrypted in transit and at rest.

4. DATA RETENTION

Your data is retained for the duration of your subscription and for a limited period thereafter (generally up to 30 days) to allow for account recovery or data export. After this period, data is removed from active systems. Certain data may remain in secure backups, audit logs, or system records for a limited time in accordance with standard data retention practices, and will not be actively used.

5. DATA SECURITY AND SAFEGUARDS

We implement administrative, technical, and physical safeguards designed to protect PHI and other sensitive data, including encryption in transit, encryption at rest, access controls, and audit logging, consistent with applicable regulatory standards.

Payment processing is handled by a third-party provider (Stripe). No protected health information is transmitted through the payment system.

Agencies are responsible for ensuring that only appropriate data is entered into the platform, that user access is limited to authorized personnel, and that usage aligns with applicable regulatory requirements including HIPAA and Florida Early Steps program requirements.

6. NOT A SYSTEM OF RECORD

BillUnlimited is not intended to serve as the agency's system of record. Agencies are responsible for maintaining their own clinical, billing, and compliance records, and for retaining their own copies of generated billing files in accordance with applicable legal and regulatory requirements.

7. YOUR RIGHTS

You may request access to, export of, or deletion of your data by contacting admin@billunlimited.com, subject to applicable legal, regulatory, and operational requirements. Some data may be retained as required by law or as necessary for legitimate business operations (such as backups, fraud prevention, or audit logs).

8. LEGAL IDENTITY AND HIPAA RELATIONSHIP

BillUnlimited is a service provided by Unlimited Pediatric Therapy, LLC. When handling protected health information on behalf of an agency, Unlimited Pediatric Therapy, LLC acts as a Business Associate in accordance with an applicable Business Associate Agreement.

9. CHANGES TO THIS POLICY

We may update this Privacy Policy from time to time. Material changes will be communicated through the platform or by email to the address on file. Continued use of the service after changes take effect constitutes acceptance of the updated Policy.
